About the Position

Northern Arizona University’s Department of English in the College of Arts and Letters is seeking a detail-oriented and collaborative individual to support departmental operations and strategic goals as an Academic Program Coordinator, Intermediate.

Starting October 27, 2025, this position will play a key role in office management, course scheduling, event coordination, and student support. Responsibilities include overseeing front office functions, liaising with HR and Financial Services, assisting with faculty travel and meetings, managing course schedules and faculty assignments, supporting faculty searches, and coordinating departmental events and scholarships. The role also involves supervising student workers and ensuring smooth day-to-day operations that align with university policies and practices.

Responsibilities Include

50% - Office Management

  • Review and route student and faculty forms for the department.
  • Work as liaison for the department in interactions with the NAU HR and Financial Service Teams.
  • Assist with departmental travel pre-approval paperwork for faculty and graduate students.
  • Participate in the preparation of department meetings, including recording minutes.
  • Issue keys/grant Lenel access and assign/prepare office space for faculty and graduate assistants and TAs.
  • Submit office supply orders and use department purchasing card for approved expenditures.
  • Hire, train and supervise student workers for front office coverage in the department.

25% - Course Scheduling

  • Input/maintain course schedule, assign faculty, set course reserves.
  • Work with department leadership and Registrar on schedule of classes, liaison with CAL advisors, Composition program and PIE coordinator.
  • Support/coordinate faculty searches, which includes processing applications, securing classrooms for presentations and planning itineraries.

10% - Events/Building Management

  • Assist with all aspects of special event planning such as receptions, scholarship dinners, guest lecturers, film series, and department retreats.
  • This can include event invitation/promotion, organizing Itineraries for visiting speakers/lecturers, securing venues and placing food orders.
  • Assist department leadership with scheduling, managing meetings and events.

10% - Student Recruitment/Support

  • Coordinate and manage the department scholarship program.
  • Provide student services support.
  • Manage enrollment issues such as overrides, out-of-career, independent studies, internships, thesis hours, etc.

5% - Other

  • Other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree in relevant field.
  • 2 years of relevant experience.

*A combination of related education, experience, and training may be used as an equivalent to the above Minimum Qualifications.


Preferred Qualifications

  • Administrative support experience in an educational/academic environment.
  • Experience in Coursedog, WordPress, Excel, Word, PowerPoint, Teams, PeopleSoft – LOUIE and Financials, eBusiness, and NAU Foundation software.
  • Excellent communication skills.
  • Organizational skills and attention to detail.

  • Knowledge of rules, regulations, guidelines, and procedures related to program area.
  • Knowledge of budgeting and account reconciliation principles.
  • Knowledge of organizational practices and principles.

Compensation

Salary range begins at $45,000. Annual salary commensurate with candidate's qualifications and related experience.

You may also be required to complete a fingerprint background check. Notice of Availability of the Annual Fire and Security Report

Each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.
